Working closely with Fundraising, Finance, Program Management and Marketing staff, the database administrator will identify, develop and deploy highly efficient, new business processes and capitalize on full features and benefits across the entire user base.
 
Job Description
GENERAL FUNCTION: The Salesforce Specialist will be responsible for the day-to-day configuration, support, maintenance and improvement of our databases. Working closely with Fundraising, Finance, Program Management and Marketing staff, the database administrator will identify, develop and deploy highly efficient, new business processes and capitalize on full features and benefits across the entire user base.
 
Job Responsibilities
  • Serve as primary system administrator for the company’s database systems, not limited to: Salesforce CRM NPSP, Marketing Cloud, Document Generation (Conga), FormAssembly, Power Automate, Donor Giving and Engagement Platforms, and future Data Warehouse.
  • Handle all basic administrative functions to also include Data Quality and Migration.
  • Monitor and manage assigned Service Desk tickets.
  • Stay up to date on new features, integrations and all things pertinent to our database systems.
  • Participate in requests for improvements or changes to the database system and implement these changes as appropriate.
  • Maintain a solid understanding of the company’s business.
  • Build strong relationships with colleagues across departments
Maintain System, Security and Integrity
  • Reassign Accounts, Contacts, Opportunities in response to personnel changes.
  • Grant/remove and maintain user roles.
  • Maintain security including sharing rules and security levels.
  • Document customizations, data dictionary and entity relationship diagrams (ERD).
  • Proactively plan for upgrades, seasonal releases and long-term projects.
  • Work collaboratively with technology team to ensure reliable and stable backup processes.
Data Quality, Migration and Maintenance
  • Implement and manage less complex database integrations – those not handled by a developer or consultant/partner.
  • Identify, install and maintain appropriate apps for event management, mass email, document merge and more.
  • Import data as appropriate, manage duplicate records, monitor and improve data quality.
  • Monitor and manage exception logs for back-end system integration.
  • Ensure data integrity by merging duplicate Leads, Contacts and Accounts; performing mass uploads and updates of data as required; auditing and remove unnecessary fields and data; ensuring screens, fields and workflows have accurate names and reflect current workflows.
  • Automate processes using appropriate database tools such as process builder, flow automation and validation rules.
Report, Dashboard, DocGen and Form Creation and Maintenance
  • Create and maintain dashboards and reports including folder maintenance, leveraging list views, native Salesforce Reports/Dashboards or PowerBI.
  • Create and maintain document generation through Conga e.g. tax receipts, invoices, thank you letters, etc.
  • Build and manage report folders
Service Ticket Responsibilities
  • Complete and attend to service tickets through the Service Desk ticketing system.
  • Maintain the company’s standard response rate to outstanding issues.

MINIMUM QUALIFICATIONS:
  • Degree in Technology, Business, or a related field; certifications in database administration or similar areas are a plus
  • At least two years of experience as a Database Administrator or Salesforce Administrator.
  • Strong understanding of database best practices, including Salesforce functionality.
  • One or more current Salesforce.com Administrator certifications are highly preferred.
  • Strong interest in Salesforce and ability to quickly learn new technologies.
  • Proficiency with the Salesforce platform, including building custom objects, formula fields, processes, custom views, and handling intermediate complex tasks.
  • Exceptional verbal and written communication skills, with the ability to collaborate effectively with both technical and non-technical team members.
  • Experience designing innovative solutions and maintaining systems that follow security best practices.
  • Strong analytical and problem-solving skills, with keen attention to detail.
  • Ability to manage multiple projects independently while maintaining a team-oriented attitude.
  • Proven track record of successfully completing projects.
  • Ability to articulate complex processes clearly.
  • Capacity to work well under pressure in a fast-paced environment with minimal supervision.
  • Strong interpersonal skills for training and assisting others with computer systems and technologies.
  • Excellent organizational and project management skills.
  • Positive attitude, eagerness to learn, and passion for helping others.
WORKING CONDITIONS:
  • Normal office environment with little exposure to dust, noise, temperature, and the like.
  • Occasional local travel to events within the regional area.
  • Extended sitting and viewing of computer monitor.
SALARY: $74,000 plus competitive benefits package
