Girl Scouts of Western Ohio seeks a Product Coordinator to join our product program team! The Product Coordinator provides full-cycle project coordination for our product programs including but not limited to the coordination of product and inventory, product launch and implementation, and volunteer support and partnership to ensure a successful program that meets our target goals. Supporting our signature product programs – Girl Scout Cookies and Fall Product, the Coordinator provides daily coordination and support for community and troop volunteers and community partners, manages cookie distribution and monitors the program's success using various data sources to identify trends and ensure a successful program. The ideal candidate for this role will have demonstrated experience in project management or events, be comfortable creating reports and working with data, experience with coordinating volunteers and managing community support and can function as part of a collaborative team! Each year our programs annually offer more than 28,000 girls in the council the chance to become entrepreneurs, leading their own product programs and marketing efforts to raise money for their troop! ESSENTIAL FUNCTIONS
Project Management:

  • Provide full-cycle project coordination for signature product programs including managing product and inventory, volunteer coordination, community support and marketing and communication.
  • Implement program strategies to increase girl engagement and participation in product programs.
  • Create short and long-term project goals to ensure a successful program; making adjustments to strategies, schedules and priorities as needed.
  • Anticipate and address barriers that may impact the program’s success.
  • Provide day-to-day administrative support for the product program team including correspondence, follow-up and volunteer support while coordinating the project.
  • Monitor and track product inventory levels, progress and performance, and coordinate with Cookie and Fall Product vendors to ensure timely delivery of products.
  • Cultivating key community contacts to secure cookie booth setup locations.
  • Communicate progress reports to the product program team and other internal departments.

Volunteer Coordination:

  • Coordinate volunteer efforts to support a successful program.
  • Recruit and manage volunteer for various program assignments to support the program.
  • Provide troop support to each regional distribution site to ensure timely communication and follow-through of action plans.
  • Serve as first point of contact for volunteers and troops for product programs.
  • Mobilize volunteers to support the program and represent GSWO in the community.

Customer Service:

  • Provide excellent customer service to all community partners, collaborators and team members. Manage difficult or emotional customer situations.
  • Respond to all requests for service and assistance in a prompt and courteous manner.
  • Provide resolution to customer conflicts while maintaining professionalism and integrity at all times.

Problem Solving:

  • Anticipate challenges or barriers that would negatively impact the program and address in a timely manner - recognizing when immediate action is required.
  • Recognize when sufficient information has been obtained to confidently make decisions.
  • Make decisions where appropriate or escalate to the appropriate organizational level.
  • Provide input to the development of future council product program assessment and planning for continuous improvement.

SUPERVISORY RESPONSIBILITY
This position has no supervisory responsibilities. This position requires the ability to manage the recruitment and coordination of volunteers.

POSITION TYPE/EXPECTED HOURS OF WORK
This is a full-time position. The days of work are primarily Monday through Friday. Work schedules and hours of work will vary, depending on support required by the active Program and time of year.  Position requires regular evening and occasional weekend work during peak Program months. 

TRAVEL
This is an “in the field” position requiring regular travel to assigned geographic areas of the council.

REQUIRED EDUCATION AND EXPERIENCE

  • Minimum of one year experience or a combination of education and experience involving full life-cycle project management.
  • Ability to work frequent evening hours and weekends. 
  • Proven ability to work with staff, volunteers, third-party vendors, and other businesses.
  • Minimum of 1 year experience with volunteer or staff management.
  • Minimum of 1 year customer service involving email, phone, and face-to-face communication
  • Experience in Salesforce is a plus; proficiency in Microsoft Office Suite including Outlook, Word, Excel, and PowerPoint; ability to utilize with fluency the Internet and other technical computer skills in GSWO systems.
  • Personal transportation, proof of insurance and a valid driver’s license.
