POSITION DESCRIPTION

Reporting to the Director, Human Resources & Operations, the Operations Associate supports the company’s operations, HR, communications, and office functions by providing administrative and logistical support. The Operations Associate will work closely with Ignite’s Corporate team to enhance organizational efficiencies to best support a high-performing and driven team. This position offers an opportunity to impact a growing organization and its people. 


Clear communication, a high level of discretion, critical thinking, and advanced organizational skills are necessary to ensure smooth operations of Ignite’s corporate functions. The ideal candidate will be detail-oriented and bring passion and process to the work. Professionalism, a service-oriented personality, and exemplary written and oral communication skills are critical.The Operations Associate is part of an internal Corporate team, responsible for executing tasks necessary to meet the needs of assigned projects and routine support of Ignite’s operations. This role provides general operational and project support to the company in partnership with the Director, HR & Operations. 

 

HUMAN RESOURCES

  • Support the planning and facilitation of employee events, including all-team meetings, retreats and social gatherings.
  • Support Ignite’s employee appreciation efforts including sending birthday cards and anniversary gifts.
  • Support the recruitment and hiring process including posting job descriptions, scheduling interviews, and organizing/filing hiring documents.
  • Collaborate with the Director, HR & Operations to ensure a smooth and streamlined onboarding process for new hires including setting up trainings/meetings, drafting schedules, and maintaining the project management software.
  • Assist the Director, HR & Operations to coordinate, schedule, and prepare for Leadership and Executive team meetings, quarterly team meetings, and other key internal and external meetings.
  • Maintain HRIS software (BambooHR) including updating benefit/insurance information and updating and organizing employee files.


COMMUNICATIONS

  • Collaborate with Director, HR & Operations and SVP, Communications & Culture on Ignite’s communications plan.
  • Support external communications including drafting copy, posting to social media, and promoting website maintenance. 
  • Draft documents, various all-team emails, and slide decks for the Director, HR & Operations.
  • Facilitate the annual holiday mailer to engage community partners and stakeholders.

 

OFFICE MANAGEMENT

  • Serve as a corporate member of the Ignite Philanthropy team to support company operations and all divisions.
  • Be the face of Ignite Philanthropy by addressing and responding to phone calls, greeting guests, and providing exceptional hospitality.
  • Provide general office management through coordinating the company’s mail, ordering supplies, responding to general maintenance requests, and managing relationships with cleaning and supply vendors.
  • Collaborate with Director, HR & Operations to improve proper retention and destruction of paper and electronic files per Ignite’s record retention policy.
  • Manage sending gifts to clients/partners for holidays, memorials, birthdays, etc.
  • Other duties as assigned.

QUALIFICATIONS

  • 1+ years of relevant work experience
  • Exceptional writing and professional communication skills; ability to adapt writing style depending on audience needs.
  • Computer proficiency, specifically Microsoft Office.

 

PHYSICAL REQUIREMENTS

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times. 


SALARY & BENEFITS 

Ignite Philanthropy offers a competitive comprehensive employee benefits package:

  • The salary range for the Operations Associate position is $40,000 – 50,000 annually, commensurate with experience
  • Ignite offers the following benefits to employees:
    • Elective health, dental, and vision insurance (75% of the employee’s premium is employer paid)
    • Short- and Long-Term Disability and Life Insurance (100% of the premium is employer-paid)
    • 401(k) retirement savings plan with a 4% employer contribution that employees may elect to participate in the quarter immediately following their hire date
    • Discretionary annual bonus and profit-sharing contribution
    • Fourteen (14) paid holidays, which includes six (6) business days at the end of the calendar year
    • 120 hours of paid leave (PTO) used for vacations and planned absences.
    • Flexible Discretionary Leave used for short-term health-related or personal absences.
    • Eight (8) hours of Volunteer Leave used for volunteering in the community.
    • Twelve (12) weeks of partially paid Parental Leave.
  • Ignite provides the following stipends to offset employee’s costs:
    • Home Office/Technology Stipend - $400/one-time, upon hire
    • Parking Stipend - $80/month o Phone/Internet Stipend - $50/month
    • Wellness Reimbursement - $200/annually
