Executive Assistant, HealthCare Connection
The Healthcare Connection is seeking an Executive Assistant to provide high-level administrative support to the CEO and other C-Suite Executive team members. The Executive Assistant also serves as a liaison to the Board of Trustees and senior management teams; organizes and coordinates executive outreach and external relations efforts and oversees special projects. - Provide administrative support to the CEO, CMO, COO, CFO and CDO and the Board of Trustees including scheduling appointments, making travel and meeting arrangements, preparing expense reports and communications and other required support activities.
- Draft, prepare and distribute correspondence.
- Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the overall operations of the company
- Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization.
- Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
- Provide communication link for Board of Trustees including records, minutes, and communications with/for committees and other executive support as needed.
- Attend Board of Trustee meetings to record minutes, maintain Board and Committee files/ correspondence, remain informed of Board decisions and coordinate administrative activities.
- Excellent communication and time management skills; proven ability to meet deadlines
- Ability to function well in a high-paced environment; performs additional duties as assigned by executives
- Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executives are involved with
- Be responsive to emails/texts/phone calls, with contact outside normal business hours
- Use discretion, confidentiality, and good judgment to handle C-Level matters.
- Represent the company and the Executive in a positive light through great follow-through skills and sound judgment.
- Conserve the Executive's time by reading, researching, collecting, and analyzing information as needed, in advance.
- Organize complex calendars and schedules, resolving any scheduling issues
- Collaborate with the CEO and Director of Development in relation to organizational fund raisers, public relations activities, and special events.
- Update’s policies and procedures as requested
- Assist with development/consolidation of online procedure manuals and creation of other electronic resources as directed including company intranet and internet.
- Other reasonably related duties as assigned by immediate supervisor and other management as required.
- Associate’s degree (COPY OF DEGREE MUST BE ATTACHED WITH APPLICATION)
- 4 or more years related experience required in working in an executive assistant role supporting C-Level executives
- Advanced Proficiency in Microsoft Office (Outlook, Word, SharePoint, Excel, and PowerPoint)
- Ability to communicate effectively and professionally.
- Flexible hours as dictated by the needs of business for projects and meetings.
- Excellent interpersonal and customer service skills.
- Service focus - dedicated to meeting the expectations of the CEO and other senior executives by maintaining effective relationships with interested parties
- Team player - have team-oriented experience and approach.
- Ability to manage multiple projects under tight deadlines.
- Ability to self-manage and prioritize work.
- Ability to handle confidential and sensitive information and to relate to persons with diverse educational, socioeconomic, and ethnic backgrounds.
- Business sense - has a strong business sense and can decipher priorities and make sound judgment calls when needed
- Commitment to excellence - perform duties at the highest level possible on a consistent basis
- Ability to think outside of the box with a sense of urgency.
- Bachelor’s Degree preferred
- 7 or more years’ experience in administrative support of CEO and Board of Trustees
