The Executive Administrative Assistant provides direct administrative support to the President and leadership team of the organization.   

Job Description

The mission of BAWAC is to develop and maximize the vocational potential and quality of life of adult persons with disabilities or other barriers to employment, through the flexible integration of life and work skills training, job placement, support services and employment in a therapeutic or community based remunerative work environment.

The Executive Administrative Assistant provides direct administrative support to the leadership team of the organization.  The role will require supporting the President & Directors of BAWAC in drafting documents and files, including but not limited to legal, contracts, and corporate filings.  The ability to analyze and anticipate needs, possess an exceptional attention to detail, and leveraging technology are all essential for this position.  Competent communication, including with multiple outside and internal stakeholders, and timely follow-through are needed for this position.  Confidentiality is a must with this role. The position also helps organize materials for Board of Directors and committee meetings. Completing meeting minutes as assigned and distributing to all required parties within expected timeframe.  Note: This position requires working in-person in an office environment with occasional after-hours requirements.

DUTIES AND RESPONSIBILITES

  • Assist with the development of agenda, materials, technology, and logistics for Board and/or Committee meetings.
  • Provide proactive communication at a high level, both written and verbal, to address issues and draft responses to parties inside & outside the agency.
  • Scheduling conference/meeting room spaces.
  • File/archive documents
  • Assist with utilizing digital resources to help develop systems and processes for preservation of agency documents.
  • Exhibit strong organizational skills as well as attention to detail.
  • Working on projects independently as well as with team members.
  • Navigate and execute Microsoft suite applications.
  • Respond to requests/assignments/projects timely and accurately.
  • Serve as point of contact and manage requests for agency cell phones usage.
  • Possess strong customer service skills.
  • Attend and assist with fundraising events as necessary.
  • Grant research and writing
  • Perform HR and/or clerical related duties as assigned.
  • Provide support to development and/or social media/marketing team as assigned.
  • Complete other duties as assigned by the Executive/Leadership team.
  • After hours will be required on occasion for conference and meeting preparation in addition to required attendance of such conferences or meetings as deemed appropriate by the President or Directors.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Advanced skill levels in Microsoft Word, Excel, and Outlook are required; PowerPoint a plus.
  • Optimal discretion and confidentiality are required to help protect client and employee information.
  • Exceptional professionalism is a must.
  • Experience working with an executive team a plus.
  • Ability to work well independently and with team members.
  • Knowledge of compliance and record-keeping practices.
  • Strong technology and computer skills, including but not limited to, effectively utilizing virtual meeting platforms (Teams, Zoom, WebEx, etc.) and audio/video tech.
  • Experience utilizing donor databases, grant management, and/or HR software a plus.
  • Must be reliable/dependable.
  • Notary or Notary eligible is encouraged.
  • Strong researching and analytical skills
  • Physical Requirements: Job duties can primarily be performed from a desk using standard office equipment, however, there will be some walking, standing, bending, carrying light items up to possibly 10lbs.
  • Must have a valid driver’s license.
  • Must successfully complete all required background checks and screenings.

EDUCATION AND EXPERIENCE

 A high school diploma or GED with 4 years + of experience in executive office management or equivalent experience as an executive administrative professional

  • Degree in Business Administration a plus, but not required.
  • Grant writing and research experience a plus.
