Business Office Assistant

HER Cincinnati is seeking a dedicated Business Office Assistant to join our team. The Business Office Assistant will enhance HER Cincinnati’s ability to fulfill our mission of breaking the cycles of poverty, addiction, and human trafficking. Specifically, this position will support the efficient operation of our administrative office, carrying out administrative duties to support the business office (Finance and Human Resources), the President & CEO, and the Chief Operating Officer. This position will work at the Anna Louise Inn, 2401 Reading Road, Cincinnati, OH 45202.
HER Cincinnati is seeking a dedicated Business Office Assistant to join our team. The Business Office Assistant will enhance HER Cincinnati’s ability to fulfill our mission of breaking the cycles of poverty, addiction, and human trafficking. Specifically, this position will support the efficient operation of our administrative office, carrying out administrative duties to support the business office (Finance and Human Resources), the President & CEO, and the Chief Operating Officer. This position will work at the Anna Louise Inn, 2401 Reading Road, Cincinnati, OH 45202.
This position is full-time, working 40 hours per week, five 8-hour shifts. The hours worked will be on 1st shift, Monday through Friday.
The starting pay rate for this non-exempt position is $23.00 per hour. Benefits are available on the first of the month following the hire date.
SPECIFIC DUTIES INCLUDE BUT ARE NOT LIMITED TO:
Office Management: Maintain equipment records and contracts; Electronic document organization; Maintain office equipment and supplies, supply ordering; Manage offsite storage records; Handle email boxes (Info/AP/HR).
Finance: Assist with Medicaid billing, using InSync software; Accounts Payable: manage e-mail inbox, process invoices using QuickBooks Online; Open mail and record checks received; Collect vendor contracts, W-9’s, etc.
Human Resources: Create monthly Employee Newsletter; Communicate with applicants (phone screens); Recruiting / Post job ads; Reference Checks; New hire onboarding; VIA Strengths emails and meetings; Update Job Descriptions.
Staff Support: Scheduling and calendar management for senior leadership; Act as liaison to the Board of Directors; attend board meetings and manage minutes; Draft and edit correspondence that is often sensitive and confidential; Assist with grant award process; Assist COO with compliance tasks; Manage administrative and logistical issues; Process correspondence; Filing for Finance and Human Resources; Other duties as assigned.
REQUIREMENTS:
An associate’s degree or equivalent experience (4+ years) is required in business administration or a related field. Proficiency in Microsoft Office: Outlook, Word, Excel, and Publisher. Ability to learn quickly with a high level of computer proficiency.
Self-directed learner and worker; able to perform effectively independently; highly organized, highly detail-oriented with strong project management and organization skills; able to perform and prioritize multiple tasks seamlessly; excellent verbal and written communication skills; proactive, resourceful problem-solver; personable and professional; highly collaborative team-player; good customer relations; strong time management and problem-solving skills. Proven ability to handle confidential information with discretion.
