Job Summary

The Administrative Assistant for the Divisional Leaders (AADL) is responsible for providing clerical functions, managing the workflow and all office procedures for the offices of the Divisional Commander and Divisional Director of Women's Ministries.  Also serves as the liaison for the Women's Auxiliaries, assisting with clerical, logistics, and attending meetings/events.

Job Description

Job duties include, but are not limited to, the following:

  • Responsible for office work flow in a highly confidential, high work volume setting including processing of all correspondence and incoming phone calls with appropriate follow through.
  • Operates with a high degree of initiative and knowledge and relieves the DDWM of clerical, minor administrative and business details.
  • Maintain a broad knowledge of organization operations and policies.
  • Creates and maintains files and records (Corps, forms, councils, and seminars, general and permanent files) and must be able to retrieve documents.
  • Handles correspondence, drafting letters/emails for approval/signature.
  • Coordinates reservations for board rooms for meetings.
  • Maintains master list for Officers gift card, master list of Officers' children, etc.
  • Makes guest travel arrangements and accommodations for general meetings and events as needed.
  • Maintains and updates Officers files.
  • Attends Camp Auxiliary Meetings.
  • Attends all major functions/fundraisers, preparing recognition, distribution of donations to the Toy Shop
  • Maintains master database for all Auxiliaries

Minimum qualifications:

  • High school diploma
  • 3 - 5 years of administrative/office manager experience
  • Ability to work in a fast-paced environment with a high level of accuracy
  • Excellent organizational skills
  • Ability to manage sensitive situations in a professional manner
  • Excellent communication (written and verbal) skills
  • Function in a highly confidential manner
  • Proficiency in Microsoft Office, PowerPoint, Publisher, Excel
  • Must be able to work both independently and as part of a team
  • Ability to work evenings/weekends, as needed
  • Must embrace and uphold the mission of The Salvation Army
