Job Description

About Us:
The Society of St. Vincent de Paul Northern Kentucky is a faith-based nonprofit organization dedicated to providing direct assistance to individuals and families experiencing hardship. Last year, we provided $948,000 in rent and utility assistance, helping families stay in their homes with access to vital resources. Through programs like food pantries, furniture assistance, Sweet Dreams, Summer Breeze, and Homeless Assistance, we serve our neighbors with dignity and compassion. By fostering partnerships and engaging donors, we empower clients to achieve long-term stability and hope.

Position Overview:
Reporting to the Advancement Director, the Administrative Assistant – Advancement Team plays a vital role in donor management, administrative support, and event coordination. The ideal candidate will ensure donor records are accurate, communications and mailings are timely, and events run smoothly. This position is perfect for someone who enjoys variety, collaboration, and contributing to impactful community programs.

Key Responsibilities:

  • Donor Management:
    • Maintain accurate donor data in Donor Perfect or similar CRM systems.
    • Ensure timely and personalized donor acknowledgments.
    • Generate monthly reports to track donor engagement and fundraising performance.
  • Vehicle Donation Program Coordination:
    • Process and track vehicle donations, providing excellent donor communication.
    • Serve as the primary contact for vehicle donors and ensure accurate documentation.
  • Administrative Support:
    • Research and schedule relevant social media content.
    • Coordinate mailings such as newsletters, donor letters, and event invitations.
    • Develop and maintain organized filing systems, both electronic and paper-based.
  • Event and Campaign Support:
    • Assist with planning and logistics for fundraising events like the Turkeyfoot Trot.
    • Manage RSVPs, prepare materials, and provide on-site event support.
  • Team Collaboration:
    • Work closely with the Advancement Director, Volunteer Coordinator, and Communications Associate to align team priorities.
    • Streamline workflows and ensure consistency across projects.

What You Bring:

  • Required:
    • Proven experience as an administrative assistant or in a similar role.
    • Proficiency in Microsoft Office Suite, especially Excel and PowerPoint.
    • Strong organizational skills and attention to detail.
    • Excellent written and verbal communication abilities.
    • Willingness to learn donor management systems like Donor Perfect.
  • Preferred:
    • Experience in nonprofit or fundraising environments.
    • Familiarity with social media tools and content research.
    • Event planning or coordination experience.
